Westerner Park is seeking a full-time Ticketing Services & Entertainment Coordinator to join our dynamic team. The Ticketing Services & Entertainment Coordinator is responsible for supporting Box Office operations and providing in-person support during ticketed events. The Coordinator ensures efficient ticketing processes, exceptional customer service, and accurate event builds, while maintaining strong communication within the Ticketing & Entertainment department and collaborating with other departments to support cohesive and successful event operations. This position requires a high degree of scheduling flexibility, with regular evening and weekend shifts to support event and operational needs.
Under the direction of the Assistant Manager, Ticketing & Entertainment, the Ticketing Services & Entertainment Coordinator is responsible for the following:
Ticketing Sales and Operations:
Manage the full-cycle process for ticket builds using the Paciolan platform, including event creation, pricing, scaling, holds, configurations, and testing prior to on-sale.
Use advanced Paciolan tools and system settings to ensure accurate event builds, troubleshoot issues, and maintain reliable ticketing operations.
Maintain and update eVenue website content, ensuring event pages are accurate, accessible, and visually consistent with brand standards.
Manage the distribution and updating of promotional codes, discounts, pre-sale access, group sales, and special ticketing initiatives.
Liaise with internal departments and external partners to confirm event requirements and ensure ticketing builds align with operational needs.
Monitor ticket sales performance and provide sales reports as required.
Box Office Support:
Support daily operations in the Box Office to ensure efficient and customer-focused service delivery.
Provide guidance, coaching, and direction to Box Office staff as needed during operating hours.
Process in-person and phone ticket sales while maintaining accuracy and professionalism.
Resolve customer service concerns and escalated issues using sound judgment and strong communication skills.
Complete end-of-shift reconciliation, including balancing cash, credit, and online transactions.
Staff Scheduling & Workforce Coordination:
Support the creation, management, and publishing of staff schedules for Box Office operations, event days, and seasonal requirements under the direction of the Assistant Manager.
Assist in ensuring appropriate staffing levels based on event size, sales projections, and operational needs.
Coordinate shift changes, replacements, and temporary staffing adjustments as needed.
Maintain staff availability records, time-off requests, and scheduling constraints to support fair and efficient scheduling practices.
Communicate schedule updates and changes to staff and supervisors in a timely manner.
Support onboarding, training coordination, and shift-readiness for new ticketing personnel.
Event Support:
Provide in-person support for Rebel Hockey season games and other major events requiring ticketing presence.
Serve as the on-site ticketing contact for promoters, event organizers, and internal event operations staff.
Troubleshoot ticketing or scanning issues during events to ensure smooth entry operations.
Monitor ticketing trends during events and report attendance and gate summaries as required.
Administrative Support:
Prepare event-related paperwork, reports, and documentation for internal use.
Maintain organized records of ticket builds, event contracts, pricing approvals, and communication logs.
Assist with system maintenance, testing, and updates in the Paciolan environment.
Support department communication by drafting notices, updates, and operational instructions for staff.
Contribute to continuous improvement efforts by identifying workflow efficiencies and updating procedures when necessary.
This role is expected to adapt to organizational needs and may take on additional duties or responsibilities as required.

Here is what you bring:
Post-secondary education in Business Administration, Event Management, Hospitality, or a related field is preferred.
1–2 years of experience in ticketing, events, customer service, or box office operations.
Experience with Paciolan or other ticketing platforms is considered an asset.
Previous experience in a supervisory or staff-support role, particularly involving scheduling or leading small teams, is an advantage.
Exceptional organizational skills with the ability to manage multiple tasks, competing deadlines, and shifting priorities.
Strong attention to detail and a high level of accuracy in all aspects of work.
Ability to troubleshoot basic technical issues (e.g., ticket scanners, printers, system configurations) confidently and efficiently.
Reliable, adaptable, and able to work both independently and collaboratively within a team environment.
Comfortable performing in a fast-paced, high-pressure, event-based setting with changing operational demands.
Proficient in Microsoft Office and SharePoint, with the ability to learn new systems quickly.
