This role is responsible for coordinating all food and beverage requirements for events, ensuring a seamless client experience from initial inquiry through to post-event invoicing. Westerner Park is seeking a dynamic, detail-oriented Food & Beverage Administrator to join the Food & Beverage team. This role is responsible for coordinating all food and beverage requirements for events, ensuring a seamless client experience from initial inquiry through to post-event invoicing. The position works closely with internal teams and clients to deliver customized event experiences while maintaining a high standard of organization, accuracy, and service.
Under the direction of the Food & Beverage Services Manager, the Food & Beverage Administrator is responsible for:
Core Functions
- Coordinate and collate all event-related food and beverage information at least one month in advance. Ensure the information is published in EventPro within two weeks of the event start date.
- Interact with customers to provide information on food and beverage services, address inquiries, and resolve complaints.
- Attend client meetings with the sales team to capture event needs and ensure clients understand food and beverage minimums and required locations for the event.
- Use EventPro to maintain a comprehensive overview of events, attend relevant meetings, and collaborate with other business units to align team efforts.
- Support the culinary team with special event requests and menu planning.
- Support and coordinate with the suites team on orders and manage the event inbox.
- Work events and assist with catering, concession, and bar operations as needed.
- Review the event calendar and coordinate with the Food and Beverage Manager to ensure client needs are met within the existing workload.
- Maintain up-to-date knowledge of menus and food and beverage services.
- Act as a liaison between customers and internal business units to resolve issues.
- Conduct site visits and develop tailored, creative proposals to meet customer needs.
- Ensure seamless handovers to Food and Beverage Coordinators through detailed briefings and notes.
- Verify proper event setups and coordinate with Event Services if adjustments are needed.
- Complete invoicing and post-event wrap-up in EventPro, ensuring client invoices are prepared by Wednesday each week.
- Balance client needs with event logistics and venue standards.
- Crosstrain with Food and Beverage Coordinators to provide coverage as needed.
- Collaborate with Event Services to ensure accurate event information and invoicing details are entered into EventPro.
- Understand and assist with inventory and POS system updates.
- Build events and link appropriate locations in the inventory system.
- Create recipes and ensure items are properly linked to locations based on event menus.
- Support inventory management, including sales entries and adjustments based on event invoices.
- Assist with inventory input as needed.
- Maintain weekly tracking documents for all areas of Food and Beverage.
- Support special projects as required.

- Post-secondary education in business, events, or a related field is preferred.
- 1–3 years of experience in administration or event services is required.
- Strong computer skills; experience with Microsoft 365 and CRM systems is an asset.
- A valid Class 5 Driver’s License and a satisfactory driver’s abstract are required.
- Ability to obtain a valid ProServe certification.
- Strong communication and interpersonal skills, with the ability to work with clients and internal teams.
- Excellent organizational skills with the ability to manage multiple priorities and deadlines.
- High attention to detail and accuracy, particularly with event and invoicing information.
- Ability to problem-solve and adapt in a fast-paced, event-driven environment.
- Ability to work flexible hours, including evenings and weekends, as required.
